TL;DR
- HubSpot Calling is the first choice for an existing paid sales team whose workflow fits native calling. Its pooled allowance and paid capacity packs can be cheaper than another phone subscription.
- JustCall Pro is the strongest default for sequential outbound work sourced from HubSpot lists or sequence call steps.
- Kixie fits reps who want HubSpot task-queue calling, PowerLists and a choice of single-line or multi-line dialing. Its contact-matching rules make the calling entry point consequential.
- Aircall Professional fits a team combining outbound lists with shared inbound routing. Dialpad Connect Pro fits manual CRM calling within a wider company communications purchase.
- A call on the timeline, a playable recording and a completed next task are separate outcomes. Buy the workflow that supplies the ones your sellers actually need.
The shortlist
The buyer is a human sales team working in HubSpot, rather than a team replacing sellers with autonomous voice agents. These options span native browser calling, sales dialers and company phone systems. Their prices become useful only after that distinction is clear.
| Option | Relevant purchase | Best reason to buy | Main limitation |
|---|---|---|---|
| HubSpot Calling | Existing paid sales/service seats and native capacity | Calls and CRM activity in one environment | Pooled minutes, supported-country scope and native execution workflow |
| JustCall | Pro, $49/user/month annually; two-seat minimum | Power dialing from HubSpot lists and sequence call steps | Separate Sales Dialer number allocation and configured logging |
| Kixie | Single-Line or Multi-Line PowerDialer; quoted seat price | HubSpot task-queue execution and PowerLists | Manual phone lookup can select a different duplicate contact |
| Aircall | Professional, $50/license/month annually; three-seat minimum | Sequential outbound dialing plus shared inbound routing | One account number included; more numbers add cost |
| Dialpad | Connect Pro, $25/user/month annually | Manual calling, CRM context and broader communications | HubSpot contact display is not automatic contact synchronization |

HubSpot Calling
Native calling deserves the first decision, because an existing paid account may already cover the job. Sellers can call from records using a HubSpot number, a registered outbound number or a supported external provider. Professional and Enterprise browser calling require the relevant Sales or Service seat. A registered outbound caller ID is not the same as a HubSpot-provided inbound number. HubSpot browser calling.
The current catalog lists 500 monthly minutes for Starter, 3,000 for Professional and 12,000 for Enterprise, per account. Professional and Enterprise can add 1,000 minutes for $50 monthly or five phone numbers for $25 monthly. The native inbound route uses HubSpot-provided numbers. HubSpot product catalog.
The allowance is pooled across users. Five reps on Professional do not each get another 3,000 minutes. Native calling is strongest for scheduled conversations, targeted prospecting and straightforward record-by-record work. If sellers need a specialized campaign queue or more sophisticated inbound routing, describe that requirement separately from minute capacity.
Do not upgrade the whole CRM merely to avoid researching a small calling add-on. Conversely, do not add a dialer because the team has reached a minute cap when a capacity pack solves the actual problem. HubSpot documents supported third-party calling as an alternative when native minutes are exhausted. HubSpot calling FAQ.
JustCall
JustCall is the practical default for a HubSpot team that needs sequential list calling and follow-up messaging. Pro is the supported power-dialer base used here; its price is $49/user/month annually or $69 monthly. That does not make Pro a predictive or dynamic-dialer entitlement. JustCall pricing, Sales Dialer campaign access.
Its current HubSpot campaign guide describes importing contacts from lists or sequence call steps, mapping fields and keeping campaigns synchronized. Sequence imports require access to HubSpot Sequences, which the guide specifies for Professional and Enterprise. Task closure can be conditioned on call status, disposition and HubSpot outcome, rather than simply treating every attempted call as completed. JustCall HubSpot campaign guide.
For ordinary calls, JustCall searches Contacts before Companies and associates additional records according to logging settings. Email-matched users are mapped automatically, with manual mapping available. Recordings are provided as links in the activity feed. Its AI insight logging can arrive around 20 minutes after a call, so those summaries should not be mistaken for an immediate routing action. JustCall HubSpot integration reference.
JustCall fits an outbound team that wants the contact list to become an executable campaign. It is less necessary for a rep who mainly makes a handful of planned calls and already has a good native task workflow.
Kixie
Kixie has a more explicitly HubSpot-oriented execution pattern. Reps can call from contact pages, list views, a Task Queue or a Deal page. Its documented DirectSync uses the selected contact; other calls use a number search that chooses the most recently created matching contact. Those are different rules, so calling from the intended CRM record is materially better when colleagues share a switchboard number. Kixie HubSpot configuration.
Activities log as Calls with selected outcomes/types, then associate to the contact’s Company and Deals. Its documented automatic task completion targets the oldest call task on the contact. That can be useful for a disciplined queue, but a completed task does not prove the specific conversation was successful. The workflow also supports adding or removing numbers from PowerLists. Kixie HubSpot behavior.
Current commercial tiers distinguish manual Professional calling, Single-Line PowerDialer and Multi-Line dialing up to four lines. The site does not supply a public dollar seat price for the selected package; budget the quoted seat rate plus applicable usage and add-ons. Human-answer detection is described as a premium add-on. Kixie pricing.
Recording controls can disable capture for selected users and determine whether recordings go to the CRM. Call activity may still be logged when audio recording is off. That is a useful distinction for managers reviewing a record with no playable audio. Kixie recording FAQ.
Choose Kixie when HubSpot queue execution and multi-line prospecting are the priority. A company-only CRM setup is a weaker fit: its documented workflow starts at Contacts rather than directly matching every activity to a Company.
Aircall
Aircall is attractive when the sales phone decision also covers inbound leads, support and shared callbacks. Professional combines its sequential Power Dialer with voicemail drop and more advanced routing. HubSpot is included in Essentials as well, but the sequential prospecting workflow is the reason to use Professional here. One account number is included; additional numbers cost $6 monthly. Aircall pricing.
Its HubSpot integration can log to Contacts, Deals and Tickets. The useful value is keeping routed calls and outbound activity visible in the CRM while the phone system handles queues and assignments. Aircall HubSpot integration.
Aircall’s troubleshooting reference documents phone matching against Contact Phone/Mobile fields, then Company, with the most recently updated record used for duplicate contact numbers. Calls without a matching record can remain unassociated when contact creation is disabled. Recording links appear in the call activity body, and the called number must be connected to the integration for logging. Aircall logging reference.
That makes Aircall a strong shared-telephony choice, rather than an automatic winner for every outbound-only seller. Its domestic calling page contains inconsistent allowance wording; the worked example therefore uses its supported seat-and-number base and leaves usage outside that subtotal.
Dialpad
Dialpad Connect Pro fits a company choosing business communications while its sellers make manual calls from HubSpot. The HubSpot marketplace entry specifies Connect Pro or Enterprise, or a Dialpad Support/Sell plan, and supports HubSpot Sales Free through Enterprise. Connect Pro’s public base is $25 annually or $35 monthly. Dialpad HubSpot plan scope, Dialpad prices.
The current integration documentation makes an important distinction: HubSpot profiles can be displayed in the Dialpad sidebar, but Dialpad Contacts are not currently synchronized or updated from HubSpot. Calls can carry recording links and optional AI data; embedding playback in HubSpot can expose it to users with access to the contact. HubSpot Outcome is not automatically updated by a Dialpad disposition, and enabled legacy plus current integrations can create duplicate activities. Dialpad HubSpot 101.
This is a good manual communications choice. It is a weaker fit when the core purchase is a continuously synchronized HubSpot prospecting list. Do not import the Salesforce Dialer’s plan and campaign claims into this HubSpot connector without a directly applicable basis.
Activity and recording comparison
| Option | Record and task behavior | Recording implication |
|---|---|---|
| HubSpot Calling | Native call activity within the CRM | Recording and eligible transcription are separate configured features |
| JustCall | Contact-first lookup; configurable associations; campaign closure conditions | Recording link/playback; AI insight writeback can arrive later |
| Kixie | Selected-contact DirectSync or latest-created phone match; oldest call-task closure | CRM audio delivery depends on recording settings |
| Aircall | Contact/company phone matching; latest-updated duplicate; unmatched activity possible | Link in the call body; logging must be enabled on the number |
| Dialpad | Explicit contact selection when needed; disposition differs from HubSpot Outcome | Link follows Dialpad permission; embedded playback broadens HubSpot access |
A recording link is not automatically a HubSpot transcript. HubSpot Conversation Intelligence supports qualifying conversations and selected third-party providers; seat and transcription settings still apply. Use vendor summaries where that is the chosen workflow, rather than assume every external recording will become native HubSpot analysis. HubSpot recording and transcript review.
A five-rep budget
Assume five US-based reps already have the required HubSpot Professional seats. Budget 6,000 native calling minutes monthly and five dedicated callback numbers. The existing CRM subscription stays outside the comparison. External figures use annual billing and exclude taxes, surcharges, messaging, destination-specific usage, advanced AI and implementation.
Professional’s native baseline supplies 3,000 pooled minutes and three numbers. Three 1,000-minute packs add $150; one five-number pack adds $25. The required extra capacity therefore costs $175 monthly. The phone-number pack increases capacity to eight; it is a pack purchase rather than two individually priced numbers. HubSpot catalog.
| Option | Supported monthly basis | What remains outside it |
|---|---|---|
| HubSpot native expansion | $150 minutes + $25 number pack = $175 | Existing HubSpot subscription and any separately selected features |
| JustCall Pro | 5 × $49 = $245 seat base | Extra/Sales Dialer numbers and usage under the selected package |
| Aircall Professional | 5 × $50 + 4 × $6 = $274 | Calling overage/bundles and selected add-ons |
| Dialpad Connect Pro | 5 × $25 = $125, with five included user numbers | Surcharges and destinations outside the applicable calling scope |
| Kixie | 5 × quoted seat rate + applicable extras | Selected dialing tier, detection, usage and number scope |
JustCall’s two included account numbers should not be counted as five included rep numbers. Its ordinary phone and Sales Dialer number allocations are separate, so the supported $245 seat base is the honest starting point rather than an invented five-number total. JustCall pricing, JustCall Sales Dialer billing.
Aircall’s $99 base premium over the native expansion equals 2.475 team hours at an assumed loaded seller cost of $40/hour. Across five reps and 20 working days, that is about 1.5 minutes saved per rep per day. If the dialer saves 15 seconds of navigation on each of 4,000 monthly attempts, it releases 16.67 hours, valued at about $667 under that assumption. Those are illustrative capacity savings, not an observed increase in meetings.
The same logic makes native calling the better option when reps already execute cleanly. A cheap Connect Pro base can also be attractive, but it does not buy the same campaign workflow as a sequential sales dialer. Choose on the missing capability rather than the lowest number in the table.
A workflow worth paying for
A useful list contains the right phone field, rep owner, reason to call and next step. Import that list into one execution queue. A no-answer attempt should receive the appropriate outcome and leave the next scheduled action visible; a connected qualification should produce a follow-up owned by the rep.
Use JustCall’s conditional campaign task closure where the team wants status and disposition to control completion. With Kixie, structure the queue around its oldest-task behavior. With Dialpad, make the HubSpot Outcome choice part of the rep’s flow. With Aircall, ensure shared callback assignment produces a visible owner rather than only another call-history entry.
For duplicate records sharing a company switchboard, prefer the intended contact’s CRM entry point over an unqualified number lookup. The vendor rules differ: Kixie’s latest-created match and Aircall’s latest-updated match can select different people. That distinction is a buying input, not a reason to stop implementation.
The signal-based outbound playbook helps organize the reason for outreach before accelerating the call queue. More attempts are useful when the list and follow-up process are worth executing.
Which dialer to choose
Stay with HubSpot Calling for an existing paid team making targeted manual calls within the native workflow. Add capacity when minutes or numbers are the only gap.
Choose JustCall Pro for sequential HubSpot list calling and controlled task completion. Choose Kixie for a more specialized outbound execution layer, especially when single-line versus multi-line dialing is a deliberate decision.
Choose Aircall Professional when list calling and shared inbound routing should use one phone architecture. Choose Dialpad Connect Pro when company communications and manual CRM calls matter more than prospecting-list synchronization.
For the five-rep scenario, native expansion is the default if execution is already efficient. JustCall is the recommended external shortlist entry when campaign progression is the missing capability; Aircall becomes the stronger fit when inbound queues and shared callbacks are equally important.
FAQ
Does every HubSpot Professional rep get 3,000 minutes?
The allowance is per account and pooled across users. Buying more seats does not multiply that pool in this comparison.
Does a dialer recording automatically become a HubSpot transcript?
No. A recording link, vendor AI summary and HubSpot Conversation Intelligence transcript are separate artifacts with their own eligibility and settings.
Which option is best for HubSpot sequence call steps?
JustCall documents campaign imports from sequence call steps and conditional task closure. HubSpot Sequences access remains a separate Professional/Enterprise requirement.
Is the lowest seat price the best deal?
Only when it supplies the required workflow. A manual phone service, native capacity pack and campaign dialer should not be treated as identical purchases.
