Start with the operating model

A LinkedIn outreach purchase has three separate decisions. First, how many actual profiles will send? Second, does the campaign follow a standard invitation-and-follow-up path or need branches based on connection status and other behaviour? Third, who handles the conversations once people respond?

A low-cost seat can be enough for a salesperson who owns their own list and replies in LinkedIn. An agency managing several clients needs a different access model, even if the number of senders is the same. A shared inbox is useful only when its visibility matches the accounts the operator is supposed to manage.

This comparison covers three active sender profiles under one sales programme, with one of those three people also managing the campaign. It also explains how client separation changes the decision. Dollar figures use current published USD bases. The HeyReach ten-sender volume rate of $59 is not applied to three senders. Expandi's $297 is a Business reference, not an Agency quote. HeyReach examined

HeyReach's strongest feature in this comparison is the connection between multiple senders, workspaces and the Unibox. An operator can manage conversations across connected sender accounts without repeatedly moving between personal inboxes. Its sequence documentation lists profile views, follows, post likes, connection requests, messages and InMail. An If connected condition separates existing connections from people who need an invitation. An Open profile check distinguishes prospects eligible for the open-profile InMail route. These are useful LinkedIn-specific paths. They do not establish that arbitrary company attributes can become native conditions or that a marketing article mentioning an email handoff makes HeyReach an email-sending product. The permission boundary is particularly important. Admins have access across existing and future workspaces. Members can be invited to selected workspaces and granted view/manage rights for screens such as campaigns, senders and inbox. Current documented operations include conversation retrieval and direct messaging to a conversation, with separate first-reply and every-reply events. Best fit: shared LinkedIn operation across several senders, with a central reply owner or separate client workspaces. Less suitable: a rep mainly wanting the cheapest standard sequence, or a buyer requiring email to run natively in the same campaign editor.

Verdict: choose HeyReach when shared operations and reply management justify the premium over simpler seats. Use workspace boundaries deliberately; do not assume permission settings hide individual threads within one shared workspace.


Expandi examined

Expandi is strongest when the campaign design needs more than a fixed invitation-and-message template. Its Builder supports behaviour-based paths, delays and actions. Published conditions include If connected, If email opened, If Open InMail, If visited your profile and If post liked. For example, existing connections can enter a message path while unconnected people receive an invitation. Email can be another path when the relevant contact data and campaign configuration exist. The useful buying advantage is control over the workflow. It is not a promise that every extra branch increases replies; an elaborate flow can also be harder to maintain.

Business costs $99 monthly per LinkedIn account or $79 monthly equivalent billed annually. Three profiles are $297 monthly or $2,844 annually. Expandi's Agency offer is custom priced and contains additional agency controls, so the Business calculation should not be represented as an all-in price for every custom role or agency entitlement. Expandi's workspace documentation describes sharing selected accounts, company grouping, predefined/custom roles and ownership transfer. It also distinguishes invited collaborators from paid sender seats. Company grouping matters for avoiding overlapping outreach within a client, while selected-account sharing lets the operator's visibility follow the accounts they actually manage. For external handoffs, its outgoing webhooks include reply and connection events, and reversed webhooks can add leads to existing campaigns. A material limitation is reply-event timing: its help describes account synchronization every few hours during active hours, with manual handling before sync able to affect event capture. Best fit: a team that needs configurable behavioural paths, native email steps and selected-account operation. Less suitable: a simple campaign where the extra builder work has little value, or a buyer treating the Business base as a confirmed full Agency price.

Verdict: choose Expandi for campaign control and account access. Its higher three-sender base needs to remove meaningful work or another tool, rather than simply produce a more complicated sequence.


Waalaxy examined

Waalaxy is the lowest-cost option here for a straightforward LinkedIn programme. Pro is $19 monthly per sender and supports standard LinkedIn sequences. Advanced is $39, with API access and automation modules; Business is $69 and adds cold email and multichannel campaigns. Current annual equivalents are $16, $32 and $55 respectively. The product emphasizes selecting a pre-built sequence, then supplying the audience, message content and delays. Its documented conditions are real: a normal LinkedIn message requires a connected prospect, an invitation can wait for acceptance, and a multichannel sequence can move to an Email Finder step if the invitation remains pending after a delay. A reply to a campaign note, message or email removes the person from that campaign, preventing its subsequent messages. The Team feature provides central account access, billing and duplicate prevention. Each profile retains its own campaigns and quotas. All team seats must use the same tier, period and renewal date; Business for one member cannot be mixed with Pro for others inside the same Team subscription. Inbox is a separate purchase. Its help lists saved responses, tags and scheduled follow-ups at €20 per month excluding tax or €120 annually. Team documentation requires the option across the team's seats. For three senders that euro basis is €60 monthly or €360 annually, alongside the dollar software base. Best fit: a small sales team following the same standard sequences and prioritizing lower software cost. Less suitable: a portfolio needing carefully separated client visibility or many freely designed behavioural branches.

Verdict: choose Pro for simple LinkedIn-only outreach, Advanced for the relevant API/integration need, and Business for the integrated email route. Include the paid Inbox only when its features are actually part of the operation.


The same campaign in three products

Assume the three senders share 600 approved prospects, with each person assigned to exactly one sender. The campaign checks whether the person is already connected. Connected people receive a relevant message; unconnected people receive an invitation and move to messaging only after acceptance. A non-reply can lead to one follow-up. Replies create a human task and remove the need for further automated nudges. These are campaign-design assumptions, not a prediction of results.

In HeyReach, use the connected condition, configure the LinkedIn actions and sender assignment, and have a member handle the shared Unibox. The same-workspace setting that makes central reply handling easy also means that member can see the workspace's conversations. In Expandi, build the connected and unconnected paths explicitly. Add the relevant behaviour check or email route only when it changes the sales decision. For an email fallback after an unaccepted invitation, use a qualifying Business sequence rather than expecting Pro to gain email steps. If these senders instead belong to three separate clients, the recommendation shifts toward a deliberately separated HeyReach workspace structure or Expandi's qualifying account/company permissions. Three-sender economics

The LinkedIn-only bases are $57 for Waalaxy Pro, $117 for Waalaxy Advanced, $237 for HeyReach at its entry rate and $297 for Expandi Business. Waalaxy Business is $207 when native email is needed. These are different feature packages, so the cheapest row is not automatically the lowest cost of the required workflow.

At $50 per hour, HeyReach's $180 premium over three Waalaxy Pro seats needs 3.6 hours of monthly value. Against Waalaxy Advanced, the $120 premium needs 2.4 hours. Suppose 90 conversations require handling monthly and the shared operation saves three minutes per conversation: that is 270 minutes, or 4.5 hours worth $225. It would cover either of those base-price differences before additional implementation costs. Expandi's $60 premium over HeyReach needs 1.2 hours of monthly value. Its $90 premium over Waalaxy Business needs 1.8 hours. If configurable branches or integrated email remove two hours of campaign maintenance monthly, that is $100 in labour and covers the latter difference. Include any email tool that Expandi replaces; exclude tools it does not actually replace.

Annual billing changes the cash commitment. Expandi's three-profile annual base is $2,844; Waalaxy Advanced is $1,152 and Business $1,980. Waalaxy's annual Inbox euro basis remains additional. Choose Expandi when custom conditions and selected-account management improve the programme enough to justify its higher base and setup effort. FAQ

Does one seat cover multiple LinkedIn senders?

The calculations use one paid sending licence per active LinkedIn profile. Collaborator or member access is a separate concept and should not be counted as another free sending identity.

Is email included in all three products?
