TL;DR
- Redact sensitive identifiers before transcripts or traces reach the audience that does not need them. Keep the original in a separately controlled system when the business has a valid reason to retain it.
- Presidio offers a configurable self-managed detection and transformation route. AWS Comprehend fits an AWS text pipeline. Google Cloud Sensitive Data Protection is relevant when inspection and de-identification span cloud data and structured fields.
- Decide whether a field needs deletion, a stable replacement or authorised recovery. Replacing every name with the same marker can destroy the evidence needed to understand a sales conversation.
- Evaluate missed sensitive content and lost useful context separately. A low API bill does not compensate for a redaction system that misses spoken identifiers or makes transcripts unusable.
Redaction is a field policy
A sales transcript can contain names, email addresses, payment information and details that identify someone indirectly. An agent log can contain the same data inside tool arguments, model output and error messages. Redacting only the final answer leaves earlier copies exposed to the trace viewer.
Start with the audience and purpose. A seller handling an active customer may need the contact name; an analyst reviewing objection themes usually does not. Write a policy for each field and destination rather than trying to remove every proper noun from every system. Redaction changes the data; access controls determine who can see the original or reverse a transformation.
Separate audio transcription from text transformation. A transcription service may misrecognise a spoken email address or split a card number across turns. Redaction cannot detect a string that was never transcribed correctly. Our transcription API guide covers that upstream purchase; this decision concerns the sensitive information in its output.
Do not call pseudonymised data anonymous simply because the visible name is gone. A rare job title, company and event can still identify a person. For consequential privacy requirements, have the responsible privacy/security owner define the acceptance policy and retention basis. This guide compares implementation choices rather than giving a blanket compliance conclusion.
Three implementation paths
| Option | Useful capability | Operating cost basis | Best fit |
|---|---|---|---|
| Presidio | Configurable recognition and transformation operators | Hosting, maintenance and evaluation | A team needing control over its own pipeline |
| AWS Comprehend | Managed PII detection/redaction for text | Character units and operation-specific tariffs | An existing AWS workflow |
| Google Cloud Sensitive Data Protection | Inspection and de-identification transformations | Operation and data-volume pricing | Structured data and Google Cloud estates |
Presidio: control with operational responsibility
Presidio's text anonymisation documentation separates detection from operators that transform the detected spans. Its anonymiser reference includes reversible operations such as encryption. That lets an engineering team choose a field-specific transformation instead of accepting one universal mask.
This fits workflows with custom identifiers, explicit deployment control and staff who can maintain recognisers and evaluate language-specific failures. An open implementation does not remove hosting, key-management or operational costs. Pin the release and dependencies, preserve the policy version and test upgrades against representative fixtures.
The non-fit is a team expecting a managed service to own recognition quality and maintenance. Reversible transformation also adds risk: the recovery key and authorisation path must be controlled separately from the redacted output. If nobody needs recovery, irreversible removal may be simpler and safer for that field.
AWS Comprehend: managed text processing
AWS documents PII detection for supported text languages and operations in its developer guide. Check the current language and input requirements against your calls; do not assume a multilingual sales estate fits because the general service supports other NLP functions.
The pricing page measures relevant requests in 100-character units with a three-unit minimum per request. Price the actual PII operation and region. Short trace fragments can be disproportionately affected by request minimums, while splitting text into many calls also creates boundary-detection problems.
Choose it when managed text detection fits an AWS processing path and the documented entities/languages cover the requirement. It is weaker when the decisive data appears in unsupported formats or requires extensive custom recognition. Storage, orchestration and exception review remain separate costs.
Google Cloud Sensitive Data Protection: transformation across data shapes
Google's de-identification documentation describes masking, deletion and other transformations of sensitive data. The attraction is a policy that can be applied to structured fields as well as free text rather than forcing every CRM value through a transcript parser.
Its pricing varies by activity and processed volume, with other cloud services potentially adding charges. Inspect the exact method and data location in the calculator. A storage scan and a synchronous text request should not be priced as the same operation.
This is a strong candidate for an existing Google Cloud estate with broader inspection and transformation requirements. Avoid buying a wide discovery programme when a small, known set of fields can be transformed directly. Conversely, field masking alone will not discover identifiers hidden in unrestricted notes.
A specialist deployment, including the provider formerly documented at Private AI and packaging associated with Limina, may also merit evaluation for specific language or deployment needs. Current packaging and tariff were not established sufficiently in this bounded check, so no unsupported feature comparison or recommendation is made here.
Preserve the conversation without preserving the identifier
Consider “Maria from Northstar asked Daniel to send the security pack to maria@example.com.” A policy might retain the company where needed for account analysis, replace the two people with distinct stable labels and remove the email. The useful result is “PERSON_1 from Northstar asked PERSON_2 to send the security pack to EMAIL_1.” Replacing both names with PERSON loses who asked whom.
Choose the stability boundary. A label stable within one call preserves speaker relationships. A label stable across an entire customer estate permits linkage and therefore deserves stricter access and governance. Do not create cross-client tokens for an agency simply to make analytics convenient.
Apply the policy before trace ingestion where possible. Scrub tool inputs, retrieved passages, error payloads and model output. A log processor added after ingestion may reduce future access but cannot undo every prior copy. The agent monitoring guide explains the surrounding observability purchase, while MCP gateways concern central tool access.
Cost a transcript and trace workload
Assume 1,000 transcripts averaging 30,000 characters and 10,000 traces averaging 1,000 characters. That is 40 million characters before retries or duplicate scanning. At 100 characters per unit, the workload contains 400,000 units, before per-request minimums and rounding. Use the current operation tariff to convert units to dollars; the arithmetic is not a vendor quote.
Now assume managed processing costs $100, storage/orchestration $40 and 100 exceptions take three minutes each at a loaded $60 per hour. Review costs $300, so the illustrative total is $440. If 900 transcripts and 9,500 traces pass the declared rules, that is 10,400 accepted outputs at about $0.042 each. Outputs of unequal length are not equivalent, so report transcript and trace costs separately in a real budget.
For a self-managed route, assume $150 monthly infrastructure and eight hours of maintenance at $60 per hour. That is $630 before the same exception review. These assumptions show why “open source” and “free” are different economic descriptions. Choose based on control, coverage and total effort rather than a headline API rate.
Accept the output before broad rollout
Build fixtures with ordinary identifiers, spoken variants, multilingual turns, false positives and sensitive data split across messages. Score missed required redactions, unnecessary redactions and whether the resulting conversation still supports the intended analysis. Inspect a sample of passes as well as known failures.
Keep the raw test material in a controlled environment. Use synthetic examples where real identifiers are unnecessary. The ABM Account Scoring Template can help identify which account facts actually need to survive for the downstream decision, reducing unnecessary data retention.
Choose Presidio for maintained control, Comprehend for a compatible managed AWS text workload and Google for a broader cloud inspection/transformation requirement. Escalate unmet language or deployment needs to a specialist evaluation with a representative sample. Redaction quality is an acceptance result to measure, not a feature checkbox that can be assumed from the product name.
FAQ
Does redaction make the transcript anonymous?
Not automatically. Remaining context and reversible tokens can identify someone. Define the purpose, audience and linkage boundary, and have the responsible owner assess the residual risk. A masked name is a transformation result rather than a universal legal status.
Should every identifier use a reversible token?
Only when an authorised workflow needs recovery. Reversible tokens require protected keys or mapping storage and an auditable recovery path. For analytics that never needs the original email or payment detail, retaining a recovery capability can add unnecessary risk and cost.
Can we redact only the final model answer?
That protects one output while leaving inputs, tool results and errors elsewhere. Identify every destination that receives the material and transform before unnecessary copies are created. Verify the trace viewer and exception logs, not just the final chat screen.
How do we compare redaction services fairly?
Use the same field policy, representative language/format sample and useful-context criteria. Report false negatives and excessive removal separately, and include deployment and review costs. A service that removes more text is not automatically better if it destroys the evidence the authorised reader needs.
