TL;DR
- Loopio and Responsive deserve evaluation for established response programmes with content ownership and collaboration. AutoRFP.ai and Inventive are relevant for AI-led drafting from organisational knowledge.
- Compare approved evidence, source traceability, SME review and export quality before comparing draft speed. A fast unsupported answer creates commercial risk.
- AutoRFP.ai publicly lists Scale at US$899 monthly equivalent, paid yearly, for 24 projects a year. Twenty annual bids fit that allowance; 20 monthly bids do not.
- Keep RFP responses separate from security-only questionnaires and quote generation. They can share evidence without becoming one undifferentiated workflow.
A technical answer needs an owner
A response system finds an old answer saying that a deployment supports a particular region. The answer is fluent, but the current product no longer offers that configuration. Reusing it quickly is worse than escalating the question.
Maintain the source, version, owner, approval state and expiry of consequential answers. Separate standard capability from a planned feature and a negotiable exception. A customer-specific promise should not become a reusable global answer merely because it won an earlier bid.
The CRM proposal-tool guide covers producing the commercial proposal. This decision concerns answering a buyer's structured questions from current evidence.
Four response platforms compared
| Platform | Strong reason to evaluate | Governance focus | Commercial basis | Main non-fit |
|---|---|---|---|---|
| Loopio | Maintained library and collaborative response work | Content owners and review workflow | Team/tier quote; projects publicly unlimited | No capacity to maintain approved content |
| Responsive | Broader strategic response operation | Knowledge and project collaboration | Selected products, users and enterprise scope | Wider suite exceeds a bounded RFP need |
| AutoRFP.ai | AI-first drafting with project-based pricing | Sources, review and current content | Scale US$899/month equivalent, annual, 24 projects | High annual volume priced from the wrong tier |
| Inventive | AI drafting across organisational knowledge | Source access and supported answers | Current platform/team quote | Treating connected files as automatically approved |

Loopio for a maintained response library
Loopio's current product describes trusted answers, project collaboration and SME coordination. Its pricing page lists Foundations, Enhanced and Enterprise with unlimited projects; higher tiers add capabilities such as multi-step reviews and separate business units.
The buying attraction is a repeatable response programme built around maintained content. An approved answer can be reused while its owner keeps it current. The buyer should test conflicting answers and expired content, not only easy questions already covered by the library.
Choose Loopio when a proposal team owns content and recurring collaboration. It is weaker if the organisation expects software to create governance without owners. Current pricing is a custom discussion; scope seats, reviews, business units, translations and onboarding. Unlimited projects can suit high response volume, but it does not mean unlimited staff time or every enterprise feature in the entry tier.
Responsive for a broader response operation
Responsive's current platform presents strategic response management, while its pricing route supports scoping the selected offering. Evaluate it where several teams contribute knowledge and response work extends beyond one seller completing a spreadsheet.
The useful purchase is coordinated knowledge and workflow: find supported material, assign uncertain questions and preserve review. Require the export to retain the buyer's format and the internal source trail. A complete-looking workbook can still contain unsupported answers.
Choose it for a broader response organisation with funded administration and content ownership. It is less compelling where a narrow annual workload can be managed with simpler tooling. No scope-comparable current quote was established here. Confirm the selected response products, users, AI scope, integrations and onboarding rather than infer entitlement from the platform homepage.
AutoRFP.ai for project-based AI drafting
AutoRFP.ai's pricing lists Scale at US$899/month paid yearly for 24 projects annually and Accelerate at US$1,299/month paid yearly for 50. The page states unlimited users and features, with enterprise terms for larger scope. A project includes an RFP or related questionnaire rather than a charge per question. The minimum term after the first 30 days is 12 months; the refund arrangement has stated qualifying steps.
That model is attractive when many SMEs need access but annual project volume is bounded. It is less attractive if volume is high and the buyer mistakenly budgets from the 24-project tier. Confirm how linked clarifications and amendments count under the actual agreement.
Its public platform describes AI response generation, content management and collaboration. Choose it when those workflows and project economics fit the programme. Still test an unsupported question, contradictory sources and required human review. Unlimited AI does not make generated statements automatically valid.
Inventive for knowledge-led responses
Inventive's current offering presents AI assistance for RFP responses and organisational knowledge. It is relevant where useful evidence is spread across documents and teams and the response process needs a more efficient route to that material.
The evaluation should distinguish access from authority. A connected draft document can be relevant but unapproved. Ask the system to answer a question with no valid source and inspect whether it abstains, qualifies or invents an answer. Also test whether a restricted document leaks detail into a response visible to an unauthorised user.
Choose Inventive when its knowledge and response workflow can be maintained by the team. It is a poor fit if no one can designate approved sources or review material promises. The pricing page could not be verified, so this guide does not infer quote-only status or reuse a historical amount. Obtain current users, connectors, response allowances and governance entitlements.
Work 20 bids of 200 questions
The proposed workload contains 4,000 questions. Clarify whether 20 bids is annual or monthly before pricing. Build a sample with standard answers, technical exceptions, missing evidence and customer-specific commitments.
In a hypothetical batch, 2,800 questions have current approved evidence, 800 require SME review and 400 are unanswered or need a commercial decision. Preserve those dispositions. A draft covering all 4,000 questions is not a 100% accepted answer rate.
Assign owners by subject, not by whoever last edited the file. Product owns capability, security owns posture, legal owns contractual statements and finance owns commercial policy. Set deadlines and escalation routes without allowing silence to count as approval.
Export one real-format sample and inspect tables, character limits, mandatory fields and citations. Some buyer portals cannot carry internal source links. Preserve those in the response record while delivering the required customer format.
Use the RevOps CRM setup playbook to link the project to its opportunity. The ABM research guide can inform buyer context without becoming evidence for product capabilities.
Price the reviewed answer
For 20 annual bids, AutoRFP.ai Scale's stated 24-project allowance leaves four projects under the published definition. US$899 × 12 is US$10,788 annually, or US$539.40 per bid if exactly 20 are used. That is subscription allocation, not total bid cost. At 20 bids monthly, annual volume is 240 and requires a different agreement.
For labour, assume the 2,800 standard questions need one minute of review, the 800 SME questions need five minutes and the 400 uncertain questions need ten minutes. Total time is 10,800 minutes, or 180 hours. At an assumed £50 loaded hourly cost, review is £9,000. These hypothetical pound costs should not be added to a US dollar quote without an explicit exchange assumption.
Compare subscription, implementation, library maintenance and review labour. Price per accepted answer can reveal whether faster drafting merely transfers work to reviewers. Choose Loopio or Responsive for the maintained response operation, and compare AutoRFP.ai or Inventive where their AI workflow and economics fit. Present approved material through the digital sales room when appropriate.
FAQ
Can we use previous winning bids as the knowledge base?
They are useful inputs, but may contain exceptions, expired claims and customer-specific terms. Extract and approve reusable knowledge before treating it as current evidence. Preserve the original context for anything that should not become a standard answer.
Should the system answer every question automatically?
No. Unsupported or ambiguous questions should be routed to an owner. An explicit gap is safer than a confident promise the product cannot fulfil. Measure accepted supported answers rather than draft completion alone.
Does an unlimited project plan remove volume cost?
It can remove a particular project allowance, but staff, content upkeep and other entitlements still matter. Compare the exact plan, seats and features. Project-based plans need a clear definition of what counts towards the annual allowance.
Should security questionnaires use the same system?
They can share approved evidence, but security review has its own permissions, disclosure and freshness requirements. Evaluate the specialised workflow separately rather than assume a general RFP product automatically meets every trust-centre and document-access requirement.
