  • Test the entire form path: which account matches, which rep is eligible, whether a calendar appears, whether the meeting books, what happens if no rep is available, and whether RevOps can reconstruct the decision.

Booking and routing answer different questions

A scheduling product asks when the prospect and rep can meet. A routing system asks which rep should receive the lead, why and what should happen if no eligible rep can take it. Both matter when a high-intent person fills in a form, but a calendar can work perfectly while the wrong account owner gets the meeting. Conversely, a routing rule can assign the correct rep and still lose the prospect because the calendar never loads.

Picture an inbound request from a security lead at Meridian Bank UK. The form captures work email, country, company, product interest and a requested meeting type. Salesforce has Meridian Holdings and separate UK and US subsidiaries; a UK account executive owns an open opportunity. A correct path needs to recognize the UK entity, preserve its owner, qualify the request, show an available slot or fallback and write the meeting back to the CRM. A simple round robin may book a meeting quickly with the wrong rep. A perfect account match without an open slot may produce no meeting.

The comparison must therefore include four outcomes: match, route, book, record. Decide which is the bottleneck before choosing software. The table uses current public pages and the annually billed RevenueHero and Calendly selections. It does not claim a comparative conversion result. The precise CRM, account-matching and administration fit must be demonstrated on your own records.


1. Calendly

Best for: teams that primarily need a reliable way to schedule meetings, with a manageable set of qualification and routing-form answers.

Calendly's pricing page lists Teams at $16 per seat per month on annual billing. It includes team and round-robin scheduling, qualification, lead routing and meetings sent to Salesforce. That is more than a personal booking link. A marketing team can present different meeting types based on an answer such as country or product line and distribute qualified prospects among available reps.

But routing by Salesforce ownership is a different capability. Calendly's Salesforce lookup guide marks it as Enterprise. The guide describes looking up Account, Contact, Lead or Opportunity fields and routing to an owner or destination. It also requires Salesforce Enterprise edition or higher, Salesforce admin privileges and matching Calendly/Salesforce user emails. The public Enterprise plan now starts at $15,000/year with 50 seats. The old claim that this price is unpublished is out of date.

For Meridian Bank UK, a Teams routing form can ask the visitor to select UK and send them to the UK pool. That may be sufficient if all UK bank requests belong to the same team. If a named account executive must retain the existing opportunity, test Enterprise Salesforce lookup with that Account and Opportunity. Ask what happens when the same email matches a Contact and a different Account, or when the owner lacks availability. A plan that can send scheduled meetings to Salesforce should not be mistaken for one that can read Salesforce ownership to decide whom to show.

Calendly is the wrong choice at the Teams price when complex matching or owner-preservation is a hard requirement. It can still be the simplest and lowest administrative burden when booking is truly the main job. Compare the Enterprise price with the other routing platforms if CRM ownership drives the purchase, rather than using Teams as a misleading cheap reference.


2. RevenueHero

Best for: a B2B inbound team that needs to qualify, route and book from its forms, and wants RevOps to inspect why a particular path fired.

RevenueHero's current pricing page lists Inbound Essentials at $25/user/month plus a $79/month platform fee on yearly billing. It describes instant scheduling, web-form booking, qualification on form and enriched values, round robin or custom logic, domain-based matching, unlimited form submissions and native HubSpot and Salesforce integrations. That makes it a real routing-and-booking product, not just a calendar with a logo. For a team that has clean domains and straightforward ownership, Essentials may cover the path from submission to booked rep.

The same page separates Inbound Enterprise at $35/user/month plus the $79/month platform fee on yearly billing. Enterprise adds fuzzy matching, matching on custom properties and lookup fields, collective round robin, fallback redistribution and ownership automation. Do not promise those features at the Essentials price. If Meridian Bank's domain is shared across entities, have the vendor demonstrate how Enterprise resolves the UK operating company from country, a custom account field and the open opportunity. If it cannot decide, the correct result may be an exception queue.

RevenueHero documents a practical audit tool: its April 2026 release says routing logs can be filtered by the rule that fired and show a logged-at timestamp. This helps operations investigate a dispute such as “Why did the EMEA rule assign this lead?” Ask for a live session log that shows the submitted fields, match or failed match, rule order, eligible reps, calendar shown and final booked outcome. Auditability has value when the team changes territories or forms often. Do not assume a log proves the data was correct; it can precisely explain a wrong match too.

The non-fit is a team whose routing requires complex changes across Salesforce object types, service-level policies and many handoff stages that go beyond the quoted RevenueHero configuration. Request an exact product demonstration rather than using “mid-market” as a capability guarantee. Also quote implementation, administrator work and integration behavior; the public subscription is not the entire cost.


3. Chili Piper

Best for: an organization with significant inbound volume, several handoff paths or Salesforce routing policies that need more than a booking form.

Chili Piper's current Routing & Scheduling plan starts at $1,250/month, or $15,000/year, with 15 seats and $45 per additional seat per month. The page lists qualification and scheduling from web forms, inbound distribution, round robin, Salesforce-object assignment, SDR-to-AE handoff, weighting and meeting limits. Its pricing comparison also explicitly lists advanced fuzzy lead-to-account matching, duplicate matching and merging, lead conversion and creation of Salesforce records. The existing article's statement that none of these products is primarily a matching engine and all inherit an external match without help is too broad. Chili Piper can perform matching functions; test exactly how well and under which plan conditions.

The plan also lists 45,000 annual AI credits for enrichment and agent actions. Treat those as capacity for specified activities, not as free unlimited enrichment. Ask what the intended inbound workflow consumes and what happens at the limit. The higher Experiences tier starts at $3,500/month, includes 30 seats and adds account-based web engagement and AI chat capabilities. A routing-only buyer should not assume Experiences is necessary, and an ABM buyer should not assume its additional identity features are in the $1,250 tier.

For Meridian, make Chili Piper show the match candidate, the chosen subsidiary and owner, the qualification and capacity rules, the calendar shown, the booking and the CRM write-back. Include a wrong-input case where the form names the parent but the attendee email and current opportunity point to UK. Ask for a log or replay of the actual routing decision; the vendor's page lists governance logs, but the depth of what can be reconstructed should be seen in your proposed configuration. Its non-fit is a small team that only needs simple round robin and a shared calendar: the $15,000 annual floor can dominate the value of the problem.


The same inbound funnel through each tool

Use one consistent monthly example: 1,200 form submissions, of which 400 are qualified, 250 are shown a calendar and 100 book a meeting. These are hypothetical values for a test design, not vendor outcomes. The 100 booked meetings are 25% of qualified submissions, while the calendar-to-booking rate is 40%. A vendor could improve calendar conversion while hurting qualification or account ownership; measure all stages rather than one top-line “booked meetings” claim.

For each submission, log: form ID; email/domain; CRM Lead, Contact and Account candidates; existing owner; qualification rule; assigned rep; availability; calendar displayed; meeting booked; CRM record created or updated; and the reason for any stop. The original 1,200 count matters for infrastructure load, but it is not equivalent to 1,200 valuable leads. A pricing claim about historical form-volume taxes is not useful unless a current contract actually contains that volume measure. RevenueHero currently says unlimited form submissions on its published plan; ask Chili Piper and Calendly about any applicable current usage or fair-use term in their contracts rather than importing an old pricing model.

Hold the route constant in all three demonstrations. A known account with an open opportunity goes to its owner; a qualified net-new UK bank goes to the UK round robin; an unqualified request gets a respectful alternate path; a matched owner with no availability goes to a designated fallback; a suspected duplicate or ambiguous subsidiary reaches review. Count the correctly routed qualified meetings, not only the number of slots booked. A routing system that books 110 meetings but sends ten to the wrong owners may be worse than one that books 100 correctly.


Five records that reveal routing weaknesses

  1. Known account, available owner: Meridian Bank UK submits with a work email. Does the correct owner appear and does the meeting attach to the open Opportunity or relevant Account?
  2. Known account, unavailable owner: The account executive has no slot in the next seven days. Does the tool show an approved fallback, an alternative time or a clear handoff task rather than a blank calendar?
  3. Parent and subsidiary ambiguity: Parent and two regional entities share a domain. Does country, existing opportunity or another verified field resolve the selling entity? If not, can the workflow abstain safely?
  4. Net-new qualified account: No CRM match exists. Is a new record created once, assigned by territory and linked to the booking, or does the form create duplicates on retries?
  5. Unqualified or spam request: Does the system avoid exposing scarce seller time and still record why the visitor saw a different path?

Run the five records through each purchased plan, including the Calendly Enterprise lookup if that is what the real workflow requires and RevenueHero Enterprise if fuzzy/lookup matching is needed. Ask operations to change one territory rule and repeat the test. The ease of explaining the resulting assignments is part of the purchase, not an afterthought.


What 20 seats cost

Assume 20 calendar-connected users, annual billing where the vendor publishes it, and no additional services. Calendly Teams is 20 × $16 × 12 = $3,840/year. That includes routing forms but not Salesforce ownership lookup. Calendly Enterprise starts at $15,000/year with 50 seats, so the 20-person group cannot treat Teams as its price if lookup is required.

RevenueHero Inbound Essentials is ($79 platform + 20 × $25) × 12 = $6,948/year. Its Enterprise plan, with advanced matching, is ($79 + 20 × $35) × 12 = $9,348/year. Chili Piper Routing & Scheduling is $15,000 + (20 − 15) × $45 × 12 = $17,700/year at published list price. An Experiences purchase would be a different, much broader scope.

These calculations leave out implementation, Salesforce edition and administration, data enrichment, any add-ons, terms negotiated with the vendor and the cost of seller time. They also do not account for whether 20 people really need full seats. Request a quote for the exact calendar owners and administrators; a booking-only or view-only user may be treated differently. Do not conclude that RevenueHero “wins” because $6,948 is below $17,700: the correct comparison is whether Essentials meets the same identity, ownership and handoff rules.

Use total first-year cost ÷ correctly routed qualified meetings as one working metric. If the hypothetical funnel produces 100 booked meetings monthly and 90 are correctly routed, that is 1,080 correct bookings annually. At $6,948 subscription cost the ratio is about $6.43 per correct booking, before other costs. If only 30 are correctly routed monthly, the same subscription costs about $19.30 per correct booking. Both numbers are arithmetic examples, not RevenueHero performance claims. The denominator is what your pilot must find.


Which one should you buy?

Choose Calendly Teams if you need booking and simple fixed-answer routing. Move the comparison to Calendly Enterprise if existing Salesforce ownership is non-negotiable, and verify the Salesforce edition. Choose RevenueHero Essentials when a form-driven HubSpot or Salesforce inbound process needs qualification, domain matching, custom rules and explainable routing within a smaller subscription. Quote RevenueHero Enterprise when fuzzy or field/lookup matching is necessary. Choose Chili Piper when the organization will use its wider Salesforce object routing, advanced matching, handoff and capacity controls enough to justify its platform floor.

No routing product can invent a reliable account owner from a broken CRM. Yet it is equally wrong to claim these tools cannot help with matching: Chili Piper and RevenueHero Enterprise advertise specific matching features. Test the real parent/subsidiary and duplicate cases before purchase.
